Document Control Manager
Job Overview
We are seeking an experienced Document Control Manager to lead and oversee the organization’s document management processes. The successful candidate will ensure that all company and project documentation is accurately controlled, securely maintained, and readily accessible while complying with internal policies, industry standards, and regulatory requirements. This role plays a key part in supporting operational excellence, project delivery, and effective information management.
Key Responsibilities
- Develop, implement, and maintain document control policies, procedures, and best practices across the organization.
- Oversee the creation, review, approval, distribution, revision, and archiving of company and project documents.
- Manage document lifecycle activities, including version control, change management, document numbering, and status tracking.
- Ensure documents are stored, indexed, and retrieved efficiently through document management systems.
- Coordinate with project teams, consultants, contractors, and internal departments to facilitate timely document exchange and collaboration.
- Conduct routine audits to verify document accuracy, completeness, compliance, and adherence to company standards.
- Monitor compliance with ISO documentation requirements and other applicable quality management standards.
- Administer document control software, electronic document management systems (EDMS), and document repositories.
- Generate reports and performance metrics related to document control activities, compliance, and document status.
- Provide training and guidance to employees on document control procedures, systems, and best practices.
- Respond promptly to document-related requests, inquiries, and technical issues.
- Identify opportunities to improve document control processes through automation, workflow enhancements, and continuous improvement initiatives.
- Ensure document confidentiality, data security, and controlled access in accordance with company policies.
- Support Health, Safety, and Environment (HSE) initiatives by maintaining accurate safety documentation and participating in compliance activities.
- Collaborate with quality assurance, project management, and IT teams to improve document management efficiency.
Required Skills & Competencies
- Strong knowledge of document control principles, records management, and document lifecycle management.
- Thorough understanding of ISO documentation standards and quality management systems.
- Experience with Electronic Document Management Systems (EDMS) and document control software.
- Excellent knowledge of document numbering, revision control, change management, and document archiving practices.
- Strong organizational skills with exceptional attention to detail and accuracy.
- Advanced proficiency in Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.
- Ability to prepare reports, analyze documentation processes, and recommend operational improvements.
- Excellent communication and stakeholder management skills.
- Strong problem-solving and time management abilities.
- Understanding of regulatory compliance requirements related to document management.
- Experience working with SAP ERP or similar enterprise systems is highly desirable.
Qualifications & Experience
- Bachelor’s degree in Business Administration, Information Management, Engineering, Project Management, or a related discipline.
- Minimum 5 years of overall professional experience.
- At least 3 years of relevant experience in document control, records management, or project documentation.
- Previous GCC experience is considered an advantage.
- Experience in construction, engineering, infrastructure, or large-scale project environments is preferred.
- Professional certification in Document Control or Quality Management is an added advantage.
