Space Management Specialist

We are seeking a Space Management Specialist to plan, optimize, and manage all workspace allocations across the organization, ensuring efficient utilization of office space, maintaining accurate space data, and supporting business growth. The ideal candidate has a Bachelor’s degree in Facility Management, Architecture, Interior Design, or Engineering, with 3–7 years of experience in space planningfacility management, or workplace strategy, and proficiency in CAFM/IWMS tools such as ArchibusPlanon, or FM Systems.

Position Objective

To plan, optimize, and manage all workspace allocations across the organization by ensuring efficient utilization of office space, maintaining accurate space data, and supporting business growth. This role collaborates closely with Facility ManagementHRIT, and departmental leaders to align space planning with operational needs and corporate standards.


Job Description & Responsibilities

Space Planning & Allocation

  • Develop and maintain space plans for all facilities, ensuring optimal utilization and compliance with organizational standards.

  • Allocate workspaces based on departmental requirements, headcount forecasts, and business priorities.

  • Coordinate seating arrangementsrelocations, and departmental moves with FM, HR, and IT.

Data Management & Reporting

  • Maintain accurate space inventoryfloor plans, and occupancy data using CAFM/IWMS systems.

  • Track space usageoccupancy ratios, and future requirements.

  • Produce regular space utilization reports and dashboards for management.

Workplace Optimization

  • Analyze current space usage and recommend improvements to enhance efficiency and employee experience.

  • Support workplace transformation initiatives (e.g., hybrid work, hot-desking, shared spaces).

  • Identify underutilized areas and propose reallocation or redesign options.

Stakeholder Collaboration

  • Work closely with Facility OperationsProjectsHR, and IT to ensure smooth execution of space-related activities.

  • Act as the focal point for all space requests, approvals, and change management.

  • Support leadership with space planning scenarios and decision-making.

Compliance & Standards

  • Ensure all space layouts comply with safetyaccessibility, and regulatory requirements.

  • Maintain adherence to corporate workplace standards and branding guidelines.

  • Support audits and inspections related to space and occupancy.


Qualifications & Experience

Education

  • Bachelor’s degree in Facility ManagementArchitectureInterior DesignEngineering, or a related field.

Experience

  • 3–7 years of experience in space planningfacility management, or workplace strategy.

  • Experience with CAFM/IWMS tools (e.g., ArchibusPlanonFM Systems) is preferred.

Technical Skills

  • Space planning & workplace design.

  • AutoCAD or similar drafting tools.

  • Data analysis & reporting.

  • Project coordination.
