Facilities Management Coordinator

Job Overview

We are seeking a highly organized and proactive Facilities Management Coordinator to oversee the daily coordination of facility operations, maintenance activities, and service providers. The successful candidate will ensure that buildings, equipment, and workplace environments are maintained to the highest standards while supporting compliance, operational efficiency, and occupant satisfaction.

This role is responsible for coordinating preventive and corrective maintenance, managing facility documentation, working closely with contractors and vendors, and supporting continuous improvement initiatives across facility management operations.

Key Responsibilities

Facility Operations & Maintenance

  • Coordinate the day-to-day operation and maintenance of company facilities.
  • Schedule and monitor preventive, corrective, and emergency maintenance activities.
  • Ensure building systems, utilities, and equipment operate efficiently with minimal downtime.
  • Coordinate maintenance requests and ensure timely completion of work orders.

Vendor & Contractor Management

  • Liaise with external contractors, service providers, and suppliers to ensure quality service delivery.
  • Monitor contractor performance and verify compliance with service agreements.
  • Coordinate vendor activities to minimize operational disruptions and maintain service standards.
  • Support the procurement and renewal of facility-related service contracts.

Documentation & Compliance

  • Maintain accurate facility records, maintenance logs, contracts, inspection reports, and compliance documentation.
  • Ensure facilities comply with health, safety, environmental, and regulatory requirements.
  • Assist with internal and external audits by maintaining organized documentation and records.
  • Develop and update facility procedures and operational guidelines as required.

Budget & Resource Coordination

  • Assist in monitoring facility budgets and maintenance expenditures.
  • Track operational costs and recommend cost-effective maintenance solutions.
  • Support resource planning and optimize the use of facility assets and services.

Facility Improvement Projects

  • Coordinate facility enhancement projects, renovations, and space optimization initiatives.
  • Support energy efficiency and sustainability programs that improve building performance.
  • Monitor project progress and ensure work is completed according to approved plans and schedules.

Stakeholder Communication

  • Act as the primary point of contact for facility-related requests and operational support.
  • Coordinate with internal departments to resolve maintenance issues efficiently.
  • Maintain effective communication between occupants, contractors, management, and external stakeholders.

Inspection, Safety & Risk Management

  • Conduct routine inspections to identify maintenance requirements, safety concerns, and operational risks.
  • Coordinate corrective actions to ensure facilities remain safe and compliant.
  • Support emergency preparedness plans and assist in responding to facility-related incidents.
  • Promote compliance with Health, Safety, and Environment (HSE) policies and Integrated Management System (IMS) requirements.

Required Qualifications

  • Bachelor’s degree or Diploma in Facilities Management, Engineering, Business Administration, or a related field.
  • Minimum of 5 years of experience in facilities management or building maintenance, including at least 3 years in a similar role.
  • GCC experience is considered an advantage.
  • Strong knowledge of facility operations, preventive maintenance, and building management systems.
  • Experience managing both hard services (MEP, HVAC, electrical, plumbing, building systems) and soft services (cleaning, security, landscaping, waste management).
  • Experience coordinating vendors, contractors, and maintenance service providers.
  • Proficiency in ERP systems, with SAP experience preferred.
  • Strong organizational, communication, and problem-solving skills.
  • Proficiency in Microsoft Office applications.

Preferred Skills

  • Knowledge of facility management best practices and asset maintenance planning.
  • Experience with computerized maintenance management systems (CMMS).
  • Strong attention to detail and documentation management skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Excellent customer service and stakeholder management abilities.
