HR Coordinator
Job Summary
We are looking for an organized and proactive HR Coordinator to provide administrative and operational support across a range of human resources activities. The role will assist with recruitment, employee onboarding, personnel documentation, HR records, employee communications, and day-to-day coordination of HR processes.
The successful candidate will be comfortable managing multiple priorities, handling confidential employee information, coordinating with different departments, and working independently while maintaining a high level of accuracy and professionalism.
This position is well suited to an HR professional who enjoys a varied role and wants to develop broader experience across human resources administration, recruitment, employee services, and HR operations.
Key Responsibilities
- Provide day-to-day administrative support to the HR department and assist with the smooth operation of HR processes.
- Maintain accurate and up-to-date employee files, records, forms, and HR documentation.
- Support recruitment activities, including coordinating interviews, communicating with candidates, preparing recruitment documentation, and following up on required information.
- Assist with employee onboarding and ensure new employees complete the required joining documentation and administrative processes.
- Coordinate employee documentation related to appointments, transfers, promotions, leave, attendance, and other employment-related matters.
- Prepare HR letters, forms, reports, correspondence, and other documents as required.
- Maintain HR databases and ensure employee information is entered accurately and updated promptly.
- Respond to routine employee and management queries and direct more complex matters to the appropriate HR representative.
- Coordinate with departments to collect, verify, and maintain employee-related information.
- Ensure HR records are properly organized and readily available when required.
- Handle employee and company information with a high level of confidentiality and discretion.
- Assist with HR meetings, events, employee communications, and departmental activities.
- Support the implementation of HR policies, procedures, and administrative processes.
- Track outstanding HR documentation and follow up with employees or departments where necessary.
- Assist with preparing periodic HR reports, summaries, and workforce-related information.
- Support employee engagement and HR initiatives designed to improve the workplace experience.
- Assist the HR team with special projects and process-improvement activities.
- Ensure all HR administrative activities are carried out in accordance with company policies and applicable requirements.
Additional Responsibilities
- Assist with maintaining employee databases and personnel information.
- Support the coordination of employee benefits and HR-related services where applicable.
- Assist with HR audits by preparing and organizing required documentation.
- Support training and development administration, including attendance records and training documentation.
- Coordinate with payroll and other departments to provide accurate employee information when required.
- Help improve HR filing systems, administrative workflows, and recordkeeping processes.
- Maintain a professional and service-oriented approach when dealing with employees and other stakeholders.
- Perform other HR and administrative duties assigned by management.
Job Knowledge & Skills
Required Knowledge
- Good understanding of HR administration and employee lifecycle processes.
- Familiarity with recruitment and onboarding procedures.
- Knowledge of employee recordkeeping and personnel documentation.
- Understanding of confidentiality requirements when handling employee information.
- Good knowledge of Microsoft Office applications, particularly Word, Excel, Outlook, and Teams.
- Familiarity with HR information systems or HR software is an advantage.
- Basic understanding of employment policies and HR procedures.
- Strong written and verbal English communication skills.

Qualifications
- Diploma or bachelor’s degree in Human Resources, Business Administration, Management, or a related discipline.
- Previous experience in an HR administrative or coordination role is preferred.
- Experience within hospitality, hotels, facilities, retail, corporate, or other service-oriented environments is an advantage.
- Good command of written and spoken English.
- Additional language skills may be advantageous depending on the workplace and workforce.
Job Experience
- 2–4 years of relevant HR or administrative experience is preferred.
- Experience supporting recruitment, onboarding, employee records, and general HR operations is desirable.
- Previous experience working in a fast-paced, multi-department environment is an advantage.
- Experience with HRIS, payroll, or employee-management systems is preferred.
